The Structure of a Professional Email

A professional email generally follows a simple and predictable structure.

Professional Tone & Politeness

Professional English is not necessarily complicated English. The objective is to sound respectful, precise and natural.

Too direct More professional
Send me the document. Could you please send me the document?
I need this today. Could you please send this by the end of the day?
Give me more information. Could you provide some additional information?
We can't accept this. Unfortunately, we are unable to accept this proposal.
You made a mistake. There seems to be an issue with the information provided.
Direct vs. polite communication

In business English, modal verbs such as could, would and might can make requests sound more diplomatic.

Compare:

Send the contract.

Could you please send the contract?

The second version is generally more appropriate when making a professional request.

Avoiding emotional language

If there is a problem, avoid emotional or accusatory language.

Instead of: "You are late again."

Use: "We have not yet received the documents."

Focus on the situation and the solution.

Important: Being polite does not mean being vague. A professional email should remain clear about what you need, who needs to act and when.
